Under the direction of the Associate Registrar in the Office of Registration and Records within the Enrollment and Strategic Initiatives Unit, this position develops and maintains the degree audit system, monitors curricular changes, assists with the oversight of the Student Information System (SIS), provides data and access to data, evaluates and processes students for graduation and serves as a resource to students, faculty and staff. This position is highly involved with the on-going maintenance of PeopleSoft Campus Solutions and Degree Audit/Planning tool Stellic.
QUALIFICATIONS
Minimum / Required
- Earned Bachelor's Degree from an accredited institution by employment start date.
- Demonstrated ability to work with diverse populations.
- Exemplary written and oral communication skills.
Preferred
- Work experience in higher education, especially working with student records.
- Proven ability to work independently with limited supervision.
- Technical skills necessary to work with complex database systems.
- Degree in computer programming, computer technology or database management.
RESPONSIBILITIES
PRIMARY
- Manage degree audit system and provide oversight of the advisement module in the Student Information System (SIS) and degree audit/planning tool Stellic.
- Graduation Evaluation and Processing.
- Data Access and Management.
- Registrations and Records Resource.
GENERAL RESPONSIBILITIES
- Understand undergraduate and graduate curriculum, including university general education, college required, and majors/minors as well as certificates.
- Consult with Program Directors to clarify degree requirements as necessary.
- Code approved curriculum changes paying attention to catalog versions and impact of changes on other aspects of the degree audit.
- Understand academic policies and code degree audit system to accommodate policies.
- Research and solve degree audit problems, working with Learning and Information Technology (LIT) as appropriate.
- Interpret substitutions and waivers made for individuals, then identify the appropriate degree audit requirement to modify and implement the change into the database.
- Assist faculty, advisors, and students with questions about degree audit reports.
- Oversee, maintain, and update the database of the AA module in PeopleSoft Campus Solutions.
- Oversee, maintain, and update degree audits within Stellic.
- Oversee and implement batch processing of advisement reports.
- Train degree audit users on the proper usage of Stellic and the student information system.
- Evaluate student record and program plan to determine if major/minor/concentration, grade points, credit accumulation and other requirements have been met for students who have applied for graduation.
- Notify students of graduation requirement deficiencies. Work with the student and program director to resolve graduation problems/discrepancies.
- Utilize Parchment diploma software to process degrees each term after querying graduation data from Stellic and PeopleSoft.
- Assist in functional area technology projects.
- Serve as a resource for office staff and others on campus on daily issues, questions, policies, procedures and exceptions.
- Attend meetings and functions as Registration and Records representative.
- Communicate with constituents about important dates and deadlines.
DEPARTMENT INFORMATION
The Degree Audit Coordinator is a part of the Registration and Records office and will report to the Associate Registrar. This position gets to work collaboratively with numerous offices/departments across campus on a weekly basis.

Minimum full-time annual starting salary is $50,000, commensurate with qualifications and experience.
