Admissions Counselor

The Admissions & Recruitment Coordinator II, with the working title of Admissions Counselor, will report to the Senior Admissions Counselor. This position plays a very important role in the recruitment and outreach activities of the Admissions Office. Our goal is to increase the number of applicants to the University and enroll a talented and diverse student body. This staff member will recruit within a specified territory and meet with prospective students and their families, high school counselors and various groups on and off campus to promote the opportunities offered at the University of Wisconsin-Stout. A significant part of the recruitment process will be establishing and nurturing relationships that can serve as a conduit for students to learn about UW-Stout. This staff member will collaborate with other Admissions Office staff members to coordinate recruitment activities.

 

This position is a 12-month annual role. The new team member’s office location will be within the Admissions Office located in Menomonie, Wisconsin but duties will include travel at least 50% of the time. The candidate must be able to travel throughout the region and be willing and able to work evenings and weekends as needed.

 

Job Functions and Responsibilities

Recruitment of Prospective Students (70%)

  • Coordinate and implement a personalized recruitment program involving high school visits, phone calls, correspondence, and campus visits.
  • Assist in the development and utilization of recruitment via technology.
  • Follow up with applicants to encourage the submission of all required application materials, deposits, and completion of enrollment steps.
  • Present admissions information to small and/or large groups of prospective students/families/supporters in a variety of settings.
  • Coordinate monthly campus visits for prospective students to UW-Stout.
  • Participate in open house and other visit options.
  • Participate in campus visitation programs
  • Be knowledgeable about all aspects of the admissions process for new students, including admissions policies and procedures, standardized tests, financial aid, costs, placement exams, registration procedures, residence life, etc.
  • Be familiar with the academic programs of the University and other opportunities available.
  • Meet with prospective students and their families/supporters in a variety of settings.
  • Represent UW-Stout during high school visits, at college fairs, college night programs, and other events in the assigned area. Travel is required.

 

Recruitment Development (20%)

  • Participate in the development and implementation of the admissions recruitment plan.
  • Develop and implement strategies to establish relationships with organizations, groups, and individuals that can influence prospective students.
  • Develop and implement recruitment strategies to identify prospective students and encourage them to apply for admission.

 

Admissions Office Processing Duties (10%)

  • Assist with electronic transcripts, proofing letters, and mail correspondence.
  • Keep the Director/Assistant Directors of Admissions advised on workflow and any problems.
  • Be knowledgeable about other positions in the Admissions Office. Assist when problems arise, or workloads become too heavy. Also, assist with workloads when unexpected illness occurs among other staff members.
  • Perform tasks assigned by the Director/Assistant Director of Admissions.
  • Participate in professional development opportunities in consultation with the Director/Assistant Director of Admissions. Attend all scheduled staff meetings and other university meetings assigned by the supervisor.
  • Participate and support select Admissions related activities.

 

Knowledge/Skills and Abilities

Required                                       

  • Bachelor’s degree (degree must be posted by hire date)
  • At least one-year post-college professional experience.
  • Previous experience in admissions, sales, recruiting or other related fields.
  • Experience working with individuals from diverse backgrounds.
  • Excellent written communication skills.
  • Excellent public speaking skills. Ability to present information effectively to large and small groups.
  • Valid driver’s license.
  • Willingness to travel.

 

Desired

  • Knowledge of UW-Stout gained through experience as a student, stakeholder, or employee.
  • Strong organizational and event planning skills.
  • Ability to be adaptable and manage multiple competing priorities.
  • Understanding of multiple computer technologies (such as Peoplesoft, ImageNow, Microsoft Office, Salesforce).
  • Ability to speak fluently in a second language.

 

Physical Demands

  • Lifting and transporting materials up to 35 lbs. is required.

 

Working Conditions

  • Typical work hours are 8:00 a.m. – 4:30 p.m. However, evening and weekend hours will be required.
  • Travel to multiple high schools and meetings in the region will be required each week.
  • Ability to travel throughout the region by automobile is also required.

  • Reviews, evaluates, and responds to student applications according to established policies and procedures
  • Counsels prospective and admitted students on educational planning and career opportunities
  • May supervise staff and/or lead a program area
  • Engages in extensive outreach and recruitment events, representing the university to prospective students
  • Evaluates program effectiveness and provides recommendations for improvement
  • Schedules logistics and secures resources for events to promote the Institution
  • Identifies, promotes, and maintains internal and external partnerships focusing on outreach, recruitment, and admission
  • Creates targeted communication plans and materials based on established goals
  • Identifies opportunities for and develops admissions and outreach events
  • Delivers directed admissions program messaging to internal and external audiences

ADDITIONAL INFORMATION

Competitive salary commensurate with qualifications and experience.

 

Employment is contingent upon the final candidate’s completing a criminal background check and being cleared to work by the Human Resources Office.  Employment is also contingent upon the final candidate passing reference checks and an essential job function test, as applicable. The reference check process includes asking the final candidates’ professional references questions regarding employee misconduct, sexual violence, and sexual harassment. Reference checks must be conducted at a minimum with three professional references, at least one of which must be a prior supervisor. 

Final candidates with previous employment within the Universities of Wisconsin and State of WI agencies will be subject to additional reference checks.
