Administrative Assistant III

Job Duties:
The position provides administrative and operational support for graduate student services, which span both Academic Affairs and Enrollment and Quality areas. It requires strong communication skills, the ability to manage multiple tasks, and a high level of discretion. The position operates with minimal supervision, utilizes a variety of technology systems, and involves extensive collaboration with stakeholders. Key responsibilities include student-focused customer service and contributions to continuous improvement efforts related to graduate operations. The normal work schedule for this position is 8:00am – 4:30 pm, Monday to Friday.
 
 
Key Job Responsibilities:

  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • Prepares and audits complex records, edits documents, and reviews work done by others
  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
 
 
Department:
UW-Stout has over 20 accredited master's, educational specialist and educational doctorate programs. We offer online and distance course delivery options.
 
Graduate Studies, a unit of the division of Academic Affairs, provides oversight for graduate education in the university. Graduate Studies administers graduate admissions, graduate assistantships, records, policies and other procedures relating to graduate students. Graduate Studies includes, in addition to its administrative personnel, the Graduate Office, which provides services to graduate students and program directors.
 
Compensation:
Minimum starting salary of $19.23/hour, commensurate with qualifications and experience.  A six-month probationary period is required.  The Universities of Wisconsin provides an excellent benefits package including participation in the Wisconsin State retirement plan, demonstrating our commitment to the diverse needs of our employees.   • Excellent project management skills 
  • Excellent verbal and written communication skills 
  • Excellent judgment including sensitivity to personal and confidential information 
  • Interest and ability to effectively learn new systems, software programs and processes 
  • Attention to detail, proofreading and editing skills 
  • Good work habits, such as attendance, punctuality, accountability, thoroughness and resourcefulness 
  • Ability to work independently with self-initiative and as part of a team environment 
  • Ability to cultivate a professional and welcoming work environment 
 
Preferred Qualifications:
  • Working knowledge of Microsoft Office software (e.g., Word, Excel, Teams, Outlook, and PowerPoint) 
  • Experience in a professional assistant or related role 
  • Bachelor’s degree in business or related field
